Terms and Conditions for Private Events & Experiences

1. Introduction

Welcome to Tri-Valley Art Labs ("we," "us," or "our"). These Terms and Conditions govern private mobile creative art events and experiences booked with us, as well as your use of our website (www.trivalleyartlabs.com). By completing a private event booking or using our website, you (the "Host" or "Client") agree to comply with and be bound by these terms.

2. Booking & Payment Terms

  • Booking Confirmation: Private experiences are only considered officially booked upon our receipt of a completed booking form and a non-refundable deposit.

  • Deposits: A non-refundable deposit of $200 is required to secure your event date and time.

  • Final Balance: The remaining balance is due in full two (2) days before the scheduled event date.

  • Attendance Minimums: Private mobile events require a minimum of 10 guests. If your final attendance falls below 10 guests, the Host remains responsible for the minimum 10-guest fee.

3. Cancellation, Rescheduling & Weather

  • Cancellations: If you cancel your event, your $200 deposit is strictly non-refundable. Cancellations made within 48 hours of the event's scheduled start time will be charged the full remaining balance.

  • Rescheduling: You may request to reschedule your event within 60 days of the original date, subject to our availability. Rescheduling requests must be made at least two (2) days prior to the event.

  • Inclement Weather: In the event of extreme weather or unsafe travel conditions, Tri-Valley Art Labs reserves the right to reschedule the event. All payments will be applied to the newly scheduled date. If the newly scheduled date does not work for the Client, a full refund will be issued.

4. Host & Venue Responsibilities

  • Space Requirements: The Host is entirely responsible for providing adequate physical space, tables, chairs, and necessary access to water and electricity appropriate for the planned art activities.

  • Alcohol & Legal Compliance: For events where alcohol is consumed, the Host is solely responsible for ensuring all guests are of legal drinking age and behave responsibly. We reserve the right to refuse service or instruction to anyone who is visibly intoxicated or acting inappropriately.

  • Damage: The Host is financially responsible for any excessive damage caused by guests to Tri-Valley Art Labs' equipment, tools, or materials.

5. Limitation of Liability & Waivers

  • Art Supplies & Clothing: Our creative art experiences utilize high-quality, non-toxic art materials (such as acrylic paints and mediums). While Tri-Valley Art Labs provides aprons for guests to use during the event, these materials can still permanently stain clothing, fabrics, and surfaces. We strongly recommend guests wear appropriate, art-safe attire underneath their aprons.

  • Property & Personal Damage: Tri-Valley Art Labs is not responsible for any damage to the venue or Client’s property (e.g., floors, furniture, carpets) occurring during the event. Clients are highly encouraged to provide drop cloths or designate a protected crafting area.

  • Assumption of Risk: The Host and all event participants assume all risks associated with the event and hereby release Tri-Valley Art Labs, its instructors, and employees from any and all liability for personal injury or property damage.

  • Minor Supervision: For children's events, active adult supervision by the Host or designated guardians is required at all times. Tri-Valley Art Labs staff are present solely to instruct and are not responsible for the supervision, care, or safety of minors.

6. Media & Photography Waiver

  • Photography: By hosting or participating in a private event, you consent to Tri-Valley Art Labs staff capturing photographs or video footage of the creative process. You grant us the right to use these images and videos on our website, social media channels, and marketing materials without compensation.

  • Opt-Out: If you or your guests prefer not to be photographed, please notify us in writing prior to the event.

7. Intellectual Property

All artwork, painting designs, steps, and materials provided during the workshop are the intellectual property of Tri-Valley Art Labs. You may not reproduce, distribute, teach, or sell our designs or instructional materials for commercial purposes without our express written permission.

8. Modifications to Terms

We reserve the right to amend these Terms and Conditions at any time by updating the Effective Date on our website.
